The advantages of outsourcing your vehicle fleet management, as told by our customers.
Vanderlande is a market leader in baggage handling systems at airports, in post and package sorting systems, and a premier supplier of automated warehouse solutions. Since 2012, the company has entrusted us with the tactical and strategic management of their fleet of 220 lease cars. Ruud Wilgenkamp, Director of Shared Services at Vanderlande, goes into more detail on the benefits of outsourcing the management of their vehicle fleet.
Getting things in peak condition
“Our relationship with The Fleetmanagers is a good one, and that has immediately been reflected in our results. They are brilliant at contract management and always know just what knobs to twiddle. Their real strength is that they are all from that line of work themselves. They know all the tips and tricks and they use that knowledge skilfully and to good effect. They always get things in peak condition for us, and as far as I'm concerned, that's huge added value for us.”
“The Fleetmanagers really go the extra mile for us, to use an appropriate motoring idiom.”
Yield immediately visible
Ruud immediately found that The Fleetmanagers was giving him a yield: “They clawed back a lot of money for us on our old lease contracts, and assisted us ably in signing the new ones. This has brought us big savings. What's more, they are affable guys and easy to work with. It's plain that they enjoy going that bit further for you. So we're more than pleased with them.”
It was in 2013 that Feenstra decided to place all its vehicle fleet management with De Wagenparkbeheerders. Norbert Posthumus, Feenstra's Head of Purchasing and Technology, has ultimate responsibility for their vehicle fleet. He is certain that the yield from this outsourcing decision has been great: “Quality has improved tremendously. The Fleetmanagers go right down to the wire for you. Our leasing costs, for example, are down nearly 10%, saving Feenstra a pile of money. Perhaps the nicest outcome of all, though, is that The Fleetmanagers have become a very cherished business relation of ours in no time at all. So we at Feenstra regard them as fully-fledged colleagues. I mean that as a great compliment.”
A large fleet of vehicles
Feenstra was established in 1947. It has evolved into the Netherlands' top specialist in central heating, insulation, ventilation, blinds and building security. With a staff of over 1,500, Feenstra manages, maintains and advises an impressive clientele made up of over 800,000 Dutch households—most of them individual tenants, owner-occupiers and housing associations.
Mr Posthumus says: “If I were to describe in a single phrase what the service is that The Fleetmanagers provides, I would say they take your concerns off your hands. They support us at the strategic, operational and tactical levels. At each level, they really give us the whole package.”

Still regularly delighted
Asked when he was last pleasantly surprised by The Fleetmanagers' performance, Mr Posthumus replied, “That happens on a regular basis. The Fleetmanagers keep a close watch on your vehicle issues. They never fail to think as if they were in your position, and they don't have to be asked to take the initiative. In fact, I've come to take that for granted, as they are so easy to work with.”
OTYS is the Netherlands' leading specialist and partner for recruitment technology and recruitment solutions. Since 2015, the company has been availing itself of our collective purchasing for fleet managers, seriously cutting their leasing costs and yet boosting the quality of their fleet. Anita Becattini is a personal assistant at OTYS and responsible for their vehicle fleet. This is what she had to say about her experience with The Fleetmanagers.
“The Fleetmanagers mediate for us between all the parties we have to deal with, and so deliver the best value for money we can get. They're enormously service-minded and highly flexible.”
Broad range of services provided
Although on paper OTYS is only signed up to our collective purchasing scheme, in practice The Fleetmanagers provide them a far greater breadth of services, without them directly being billed for them. “The Fleetmanagers helped us improve and formalise our tendering and ordering procedures. They also advise the drivers of our company vehicles in the process of choosing a new lease car. If any of our people are in doubt about what to drive next, The Fleetmanagers are exceptionally helpful; they respond quickly and are really able to put themselves in our shoes. Our fleet is now not only much more professional but also cheaper to run.”
Financial service provider De Volksbank engaged De Wagenparkbeheerders in their search for and selection of a new lease company for their fleet. To aid us in finding the best party to meet their needs, we interviewed De Volksbank about what they were looking for. We then negotiated with a number of lease companies about these specific requirements. Vincent Kool of De Volksbank: “The extensive experience of De Wagenparkbeheerders together with their abundant enthusiasm were the deciding factors for us.”
Not your standard questionnaires
Negotiating with lease companies is an art in and of itself. If you send them a standard questionnaire, you can expect to receive standard answers. Vincent: “De Wagenparkbeheerders took a different approach. They translated our wishes into specific questions, which allowed the various lease companies to stand out from one another. In order to do so, however, the lease companies were forced to deviate from their standard sales pitches and provide substantiated responses, preferably with references. This let us see straight away which party best met our needs.”
“The enthusiasm of De Wagenparkbeheerders grabbed us immediately. They aren’t a traditional company; instead, they are an energetic group of people with an eye for flexibility. From the get-go, it felt like we were working together and that our specific circumstances were taken into account.”
De Volksbank was thoroughly impressed by the approach and methods of De Wagenparkbeheerders. “They just radiated enthusiasm and the process felt like a collaborative effort right from the start. They interviewed us about the things we felt were important, and drew up contractual and financial agreements. We were consulted throughout the process and the emphasis was immediately placed on achieving results. If at any time we needed to meet to discuss something, a date was scheduled.”
“De Wagenparkbeheerders promised to lighten our workload and they did. We could leave anything in their hands, whether it was issuing the call for tenders or providing advice during the selection process. Combined with their enormous amount of expertise, this ensured that the lead time was considerably reduced and that we could quickly make a selection based on quality.”
Negotiating contracts with lease companies
Once a lease company has been chosen, the most important part of the process can begin: implementation. De Wagenparkbeheerders begin by setting out all the promises made in a contract. “We ourselves have a background in the lease sector and know exactly how this works. It’s not unusual for about 20% of the promises made during the tender process and negotiations to be left out of the contract documents. We don’t let that happen, however.”
